The HR/Security Assistant, will assist the Vice President of Human Resources with a variety of HR and security functions such as:
- Administering compensation, benefits, and performance management systems.
- Supporting recruiting efforts, including formatting resumes and utilizing our applicant tracking system (ATS).
- Providing current and prospective employees with information about policies, job duties, working conditions, wages, opportunities for promotion, and employee benefits.
- Planning and conducting new employee orientation to foster a positive attitude toward VISTA objectives.
- Serving as a link between management and employees by handling questions and helping to resolve work-related problems.
- Maintaining HR and personnel records, and compiling statistical reports concerning personnel-related data such as hires and transfers.
- Conducting exit interviews.
- Moderating virtual employee meetings
Additionally, the HR/Security Assistant will assist with administering the VISTA overall security program, maintaining compliance with the National Industrial Security Program (32 CFR Part 117) requirements. Security duties will include:
- Participating in DCSA compliance assessment reviews and performing self-inspections to ensure compliance with government and company regulations/requirements.
- Performing background checks, verifying US citizenship, providing information on the federal privacy act, and ensuring proper completion of security forms and signatures.
- Processing security clearances, tracking security clearance investigations, and performing administrative support in the Defense Information System for Security (DISS).
- Submitting DoD visit requests and completing and submitting CAC forms when needed.
- Administering security education program by conducting initial security briefings, annual awareness briefings, and debriefings. â¯
- Maintaining access cards to VISTA corporate office and generating access reports as required.
- Managing, preparing, and tracking all Department of Defense Contract Security Classification Specifications (DD Form 254s) provided from the government/prime contractor as well as those necessary for distribution to subcontractors.
The ideal candidate for this position is a self-starter, with strong attention to detail, communication, and time management skills. Candidates should be willing to learn, rolling up their sleeves to support the team in a fast-paced environment. Individuals will utilize their security experience, and train to become the Facility Security Officer (FSO).
â¯Basic Qualifications:
- 5+ years in an HR Assistant or HR Generalist role, assisting with onboarding, performing personnel actions, and benefit administration.
- 3+ years of related experience working in a government contractor environment as an FSO, Assistant FSO, or assisting an FSO with conducting background investigations
- Active DoD Secret Clearance required, with ability to obtain Top Secret clearance.
Preferred Qualifications:
- Bachelor’s degree in Human Resources, Business, or a related area of study
- SHRM or HRCI certification
- Working knowledge of DISS and NISS
- Experience with an Applicant Tracking System (ATS)
